Setting Up and Transcribing a Private Online Meeting

As a Windows NT administrator or chat sysop manager, you can use Chat Service to set up a channel where selected attendees can conduct a private meeting.

If you are unfamiliar with any terms used in this scenario, see Glossary.

Goal

To set up a private online meeting and transcribe all statements made during the meeting.

Components

Microsoft® Windows NT® Server version 4.0 with Service Pack 3 and Microsoft Exchange Chat Service version 5.5 Service Pack 1 installed on the server.

Environment

A Windows NT network.

Configuration

  1. Start the Chat Service Manager utility.
  2. From Microsoft Exchange Chat Service in the left pane, select the chat server where you want to hold the meeting. If you need to connect to the server, see Connect to the Meeting Server.
  3. Set up the meeting channel.
  4. Set up transcription for the channel.
  5. Designate a location for the meeting transcript.
  6. Give Member and Owner passwords to the person who plans to lead the meeting. Advise that person to distribute the Member password to the meeting participants.

Result

Shortly before the appointed meeting time, the meeting leader will join the channel and invite each participant using the following command:

/INVITE member channel_name

The meeting is accessible only to chat users who are invited by the meeting leader and who provide the Member password upon joining the channel. In addition, a transcript of the meeting will be generated and stored on the server.
