Use the Limits property page to set limits on message storage and the size of incoming and outgoing messages. You can also set the retention period for deleted messages.
You can configure Microsoft Exchange Server so that messages deleted from mailboxes are retained for a specified amount of time before they are permanently deleted. When a user deletes messages, if you've set a deleted item retention period, the items are marked as hidden until they are permanently deleted from the private information store. Users can recover deleted items by using the Recover Deleted Items command (in Microsoft Outlook version 8.03 or later), and then moving them to a specified location.
You can set deleted item retention periods for the public or private information store or individual mailboxes and public folders. Deleted item retention periods set on individual mailboxes override the setting on the private information store by default.

You can set optional storage limits to control how much space a mailbox can occupy in a server's private information store. For example, if you create 100 mailboxes on a server's private information store and you know the size of the disk can accommodate a maximum of 1000KB of data for each mailbox, you can set a storage limit of 1000KB for each mailbox. When a mailbox exceeds the storage limit, a warning message is sent to the mailbox owner. You can also set limits on a mailbox so that the mailbox owner can't send or receive messages if the storage limit is exceeded.
Note The Prohibit send option is not used when messages are sent by Post Office Protocol version 3 (POP3) or Internet Message Access Protocol, Version 4rev1 (IMAP4rev1) clients because these protocols do not support this functionality.

Prohibit send and receive (K) | Select this check box and type a value (in kilobytes) to specify the maximum amount of space that a mailbox can occupy before the system prevents the owner of the mailbox from sending or receiving more messages. The value you specify for this option should be greater than the value you set for the Prohibit send option. For example, you should do this if users will be out of the office for extended periods of time. |
You can also set a size limit on a mailbox for incoming or outgoing messages. For example, if you know that messages and attachments totaling 1 MB or greater will degrade your network performance, set an outgoing message transfer limit of 1 MB on all mailboxes. The default is no limit for messages.
