If only GO is entered, the user profile menu will be displayed, from which a name can be selected. If either a username or alias is specified, GO will search the configuration file for a match and load the specified profile. NOTE: To action on an event (i.e. perform a process on an event), select the item by pointing to it with the mouse and then clicking ONCE with the left button. This allows you to then view, update, delete, or reschedule the event. If you double-click on the item, you will automatically view the details of the event. :: Installing GO NOTE 1: The following procedures make reference to the "A:", "B:", and "C:" drives. These references are used only as examples. GO can be installed on any disk drive on your system that has the space to store the files. For systems running DOS 4.0 or later, refer to the DOS manual for instructions on defining GO to the DOSSHELL if desired. NOTE 2: GO does not make, or require, any changes to the CONFIG.SYS or AUTOEXEC.BAT files. This makes both the installation and removal of GO a painless process. Included Files: The following files should be contained on your master disk(s); GO.286 - main program module (for use on an 80286 processor) GO.386 - main program module (for use on an 80386 processor) - ** one of the above modules should be renamed to GO.EXE CFGCONV.EXE - utility supplied to convert the CFG file created by GO Version 5 releases prior to version 5.1c. RDYSTAT.EXE - used (as needed by GO) for adding holidays GOHLP.DOC - help guide (this document) GO5HLP.EXE - module to display help guide w/o running GO PRNTHLP.EXE - module to print help guide ORDER.FRM - form used to order GO GOV5.CTL (not included with evaluation copy) The only files REQUIRED to run GO are GO.EXE, RDYSTAT.EXE and GOHLP.DOC. The other files are supplied as aids for the user(s). Floppy Disk System Hard Disk System Networked Systems :: Floppy Disk System NOTE: installation to a floppy disk system requires that the disks be at least 1.2M drives. - insert the master disk in drive A. - insert a formatted disk in drive B. - type COPY A:*.* B:*.* and press ENTER. - store your master disk in a safe place. - follow the instructions for configuring and running GO. :: Hard Disk System - from the C:> prompt, type CD \. - enter the command MD \GO. (NOTE: the use of the name GO for a directory is only a recommendation, not a requirement.) - enter the command CD \GO. - insert the master disk(s) in drive A and enter the command COPY A:*.*. - store the master disk(s) in a safe place. - follow the instructions for configuring and running GO. :: Networked Systems IMPORTANT: As there are many different network operating systems, and a multitude of possible hardware configurations, the following steps are only suggestions. It would be prudent to think about the desired result before installing GO and putting it into production. If you have any questions regarding network installation, do not hesitate to contact CAPCAN Systems Development. - from the C:> prompt on the file server, type CD \. - enter the command MD \GO. (NOTE: the use of the name GO for a directory is only a recommendation, not a requirement.) - enter the command MD\GO\CALS. (NOTE: when adding users to the system, GO will make directories 1 level down, if required. By making a directory \GO\CALS, and storing all calendars in directories below \GO\CALS, the network administrator need only give the required accesses to the \GO\CALS directory.) - enter the command CD \GO. - insert the master disk(s) in drive A and enter the command COPY A:*.*. - store the master disk(s) in a safe place. - follow the instructions for configuring and running GO. :: Configuration After installing GO, type GO and press ENTER. As this is the first time that GO has been run, the configuration routine will be invoked automatically. A file called GOVx.CFG will be created. If this file is deleted, GO will execute this process again, the next time that it is run. See also Running GO for more information. You will be prompted for the following information which can be changed at any time in the future by pressing. User's Name - enter the name that is to appear on GO's main screen. This can be any name, company, title etc., up to 26 characters in length. Typing the word Delete (note letter case) in this field will result in the user being removed from GO. NOTE: The GO Administrator cannot be deleted from the configuration file. NOTE: If this is the first time through the configuration, the name and alias fields will be filled in with GO Administrator and Admin respectively. These cannot be changed. NOTE: User names and aliases must be unique. GO will NOT allow more than one user to have the same name or alias. Invalid responses will be noted by an audible alarm and the title of the field in question will be displayed in red. Alias - enter the alias name (nickname) that the user is to be referenced by. NOTE: If you are running on a network, it is strongly recommended that the name used for Alias is the same as the user's logon (login) ID. Authorization Code - entering data in this field will tell GO that an authorization code (password) is required to access data related to this user's profile. When the data is entered, you will not be able to see it. If GO is being installed on a network, or on a system where more than one user will have access to the system, it is recommended that at least the GO Administrator have a password. Noteworthy Events - when scheduling events you will be prompted for a priority from 0 (lowest) through 9 (highest). The response you give to this prompt will be used by GO to determine what upcoming events are to be considered "noteworthy". If no value is specified, a value of 5 will be assumed. Start of Day - if your day usually starts at 9:00 am, you would enter 9:00. This value is picked up by GO at initialization and accepted as the start time for an event when no time is specified. End of Day - if your day usually ends at 5:00 PM, you would enter 17:00. This value is picked up by GO at initialization and accepted as the end time for an event when no time is specified. Retention Period - a value from 1 through 99 that is used by the Configuration file maintenance routine and represents the number of months an event should be retained by GO. If no value is specified, a value of 6 will Drive Letter (Program Files) - respond with one letter (A-Z), indicating the disk drive where GO's program files will be located (the colon (:) is optional). Directory (Program Files) - respond with the directory name where GO's program files will be located (e.g. \GO). Drive Letter (Calendar Files) - respond with one letter (A-Z), indicating the disk drive where GO's calendar files will be located. Directory (Calendar Files) - respond with the directory name where GO's calendar files will be located. If the directory does not exist, it will be created (one level down only). On a stand alone system it could appear as follows; \GO\TOM while on a networked system it could appear as follows; \GO\CALS\TOM NOTE: Directory names (for calendar files) must be unique. GO will NOT allow users to share the same calendar files. Drive Letter (Mail Files) - respond with one letter (A-Z), indicating the disk drive where your mail files are/will be located. Directory (Mail Files) - respond with the directory name where your mail file are/will be located. NOTE: If you leave the Mail Files Drive and Dir fields blank, GO will assume the same drive and directory as specified for the CAL files. The reason that the option of storing the calendar and mail files in different locations is to accommodate (as an example) Novell networks. Novell has its own Mail directories which (as an example) Pegasus Mail can make use of if desired. These Mail directories have "C" (Create) rights only. GO requires RWCME (Read, Write, Create, Modify and Erase) rights to function properly. After you have replied to all the prompts, you will be returned to GO and the User Profiles menu. :: File From the File option, you can print daily, weekly or monthly calendars, temporarily leave GO and display a DOS prompt, or exit GO. Printing a Calendar DOS Shell (F11) Exiting GO (F12) :: Printing a Calendar A calendar can be "printed" to disk, or to a printer. If DISK is selected, the calendar can be NEW or APPENDED (to an existing calendar file). Output directed to disk can be imported by most word processors and incorporated into a document. The name of the file will be one of;DAILY.CAL, WEEKLY.CAL, or MONTHLY.CAL and will be found in the user's directory. When directing output to a printer, one of LPT1, LPT2, LPT3, COM1, or COM2 may be selected. The calendar type can be DAILY, WEEKLY, or MONTHLY with the output reflecting the respective choice. If printing has been directed to a printer and the output appears "ragged" on the right hand side, this could be a result of a proportionally spaced font being currently loaded. If this is the case, select the appropriate printer emulation under the "Prop. Spacing Off/On" title before pressing OK to send the calendar to print. This will turn proportional spacing off, print the calendar, and then turn the proportional spacing back on. :: DOS Shell (F11) To interrupt GO and temporarily exit to DOS, press either ALT + F + D or, F11 To return to GO, type EXIT at the DOS prompt and press ENTER. :: Exiting GO (F12) Exiting, or quitting, GO is accomplished through one of the following key combinations; ALT + F + X or, F12. Upon exiting GO you will be returned to the host environment. :: Scheduler The SCHEDULER permits you to ADD single or recurring events, UPDATE events, DELETE events, RESCHEDULE events, VIEW events, schedule GROUP events and add Holidays from a file. Select one of the following topics for more information. ÿ Add A New Event (CTRL + A) ÿ Update An Event (CTRL + U) ÿ Delete An Event (CTRL + D) ÿ Schedule A Recurring Event (CTRL + R) ÿ Schedule A Group Event (CTRL + G) ÿ Add Annual Holidays (CTRL + H) ÿ Reschedule An Event (CTRL + E) ÿ View An Event (CTRL + V) :: Add A New Event (CTRL + A) The ADD process can be invoked by pressing CTRL+A or ALT+S+A. When adding a new event, you will be prompted for the following information; - the date (mm-dd-yyyy). If left blank today is assumed. - the priority (0-least important 9-most important) - the start time of the event - the end time of the event - a general (30 character) description of the event - the details of the event (max. of 500 characters) After entering the required information, click on ADD to add the event to the database or click on EXIT to return to the main screen without adding the event. NOTE (1): If the start and end times are left blank, then the times that were specified as the start and end of day when the user was setup will be substituted. NOTE (2): If the start and end times are both set to 00:00 (one 0 will suffice), then the entry is assumed to be a note and will not be considered when GO checks for conflicts. :: Update An Event (CTRL + U) To select an event for updating, point to the desired event (as displayed on the left of the screen) and click once with the left mouse button to select the event. Then, press either CTRL+U or ALT+S+U to invoke the update process. The event will be displayed and you must click on EXIT to return to the main screen WITHOUT updating the event, or click on UPDT to update the event and return to the main screen. When updating an event, only the following fields can be modified; - the priority (0-least important 9-most important) - the start time of the event - the end time of the event - a general (30 character) description of the event - the details of the event (max. of 500 characters) The date field cannot be altered. If the event has been rescheduled to another date, use the Reschedule An Event (CTRL + E) feature. :: Delete An Event (CTRL + D) To select an event for deletion, point to the desired event (as displayed on the left of the screen) and click once with the left mouse button to select the event. Then, press either CTRL+D or ALT+S+D to invoke the delete process. The event will be displayed and you must click on EXIT to return to the main screen WITHOUT deleting the event, or click on DEL to delete the event and return to the main screen. :: Schedule A Recurring Event (CTRL + R) When scheduling a recurring event, you will be prompted for the following information; - the FROM date (mm-dd-yyyy) - the TO date (mm-dd-yyyy) - the priority (0-least important 9-most important) - the start time of the event - the end time of the event - the frequency of the event - D - daily - W - weekly - B - bi-weekly (14 days) - M - monthly (same date each month) - F - * first occurrence of day - S - * second occurrence of day - T - * third occurrence of day - Q - * fourth occurrence of day - L - * last occurrence of day * - to select a particular day (e.g. the second Tuesday of each month), the FROM date must fall on a Tuesday. - A - AutoSchedule a meeting (see AutoSchedule) - a general (30 character) description of the event - the details of the event (max. of 500 characters) After entering the required information, click on ADD to add the event to the database or click on EXIT to return to the main without scheduling the event. :: Schedule A Group Event (CTRL + G) This facility permits the user to schedule a recurring event with a group of people. When added to the calendars, the scheduler's name will be appended to the end of the details so that the people involved will know who scheduled the event. For information on valid frequencies, refer to the section on recurring events (Schedule A Recurring Event (CTRL + R)). A list name (see Lists for more information) can be entered, or if left blank a selection list of all users will be displayed for you to select from. The Group Scheduling facility of GO can also search selected calendars and, return the first available date and time slot (see AutoSchedule for more information). If you ordered GO with the Mail option, or you are running a demo version, you will see a Check Box to the right of the List Name box. If you are running Pegasus Mail on your system, you can have the Group Scheduler send mail notices to PMail, advising the user that a meeting has been scheduled and that their calendar has been updated. :: AutoSchedule GO includes the facility to "AutoSchedule" a meeting with a group of people. This facility works as an extension of the Group Scheduler and is activated when an "A" is entered as a frequency. When using the AutoScheduler, you need only specify a From Date as GO will automatically scan an 8 day period starting with the From Date. If a Start Time and End Time are entered, the AutoScheduler will interpret the times to be an indication of "preferred" time range for the meeting. For example, if you enter times of 1:00p and 4:00p, the AutoScheduler will assume that you want the meeting to occur between 1:00 and 4:00 in the afternoon. Once you have entered the data you want and select "Add", the AutoScheduler will then prompt you for a duration for which the meeting is to be allocated. The duration can be entered in 1/4 hr increments (i.e. 3 hrs. and 15 mins. would be entered as 3.25). The auto scheduler will then search the calendars of all the names and, if an available date and time is found, the group scheduling screen will be redisplayed with the updated information shown (NOTE: the "A" in frequency has been changed to "D"). Click on OK to apply the update to the calendars. If no available date and time were found, a warning message will be displayed indicating such. See the following topic areas for more information on Auto Scheduling events; ÿSchedule A Group Event (CTRL + G) ÿSchedule A Recurring Event (CTRL + R) ÿLists :: Add Annual Holidays (CTRL + H) This feature is likely to be used only once a year. It allows users the ability to "batch" add a list of dates and events. When invoked, the user will be prompted for the name of the file containing the list of dates and events. This file can be created with any text editor. If the file has not been previously processed (NOTE: this file may have been created by the GO Administrator and put on a public directory for all users to access.) then GO will perform a file conversion before updating the calendar. The file name specified must include the drive and directory where it is located. Scheduling conflicts WILL be ignored!!! The format of each line is date (format: mm-dd-yyyy), start and end times (format hh:mm), and a description. For example; 03-17-199409:0017:00St. Patrick's Day 07-01-1994 Canada Day If no times are entered, the start and end times, will be selected from the user's profile. :: Reschedule An Event (CTRL + E) Create an exact copy of an event on a new day. The original entry is left intact with a note appended to the description indicating that the event has been rescheduled from one date to the new date. The new entry will also have this notation in the description. The only field that can be updated is the DATE field. :: View An Event (CTRL + V) To select an event for viewing, point to the desired event (as displayed on the left of the screen) and click once with the left mouse button to select the event. Then, press either CTRL+V or ALT+S+V to invoke the view process. Alternatively, double click on the desired event to view it. The event will be displayed and you must click on EXIT to return to the main screen when you have finished viewing the event. :: View Through this option, you can display events by the day, jump back or ahead by days or months, take a look at the week's events or the month's events in a general (non-specific) view, or move to a specific date. Select Date (F4) Previous Day (F5) Next Day (F6) Previous Month (F7) Next Month (F8) Week At A Glance (F9) Month At A Glance (F10) :: Select Date (F4) To change the currently displayed date, press F4 or ALT+V+S. The format required is mm-dd-yyyy. To return to today, click on OK without entering a date. :: Previous Day (F5) Moves you to the day previous to the current day. :: Next Day (F6) Moves you to day following the currently displayed date. :: Previous Month (F7) Moves the display one month back. :: Next Month (F8) Moves the display one month ahead. :: Week At A Glance (F9) Graphically displays the events scheduled from the current day through to the same day in the following week (i.e. the display would be from a Tuesday to the following Tuesday). :: Month At A Glance (F10) Highlights the days of the currently displayed month, that have events scheduled on them. :: Search Searches the active calendar database for a specified string. Find Selected Text (CTRL + F) Output Search Results (CTRL + O) Reshow Search Results (CTRL + L) :: Find Selected Text (CTRL + F) Searches your database for the specified text. All dates that match are displayed. You can select a date by double clicking on it, or exit by clicking on the EXIT button at the bottom of the window. The search is NOT case sensitive (i.e. birthday = Birthday). See also Global Search :: Global Search Searches all calendar databases for the specified text. All users, whose calendars contain a match, will be displayed with an asterisk (*) to the left of their name. You can select a name by double clicking on it, or exit by clicking on the EXIT button at the bottom of the window. The search is NOT case sensitive (i.e. birthday = Birthday). If a password was entered in the selected user's profile, you will be prompted for it. NOTE: using the Global Search feature is a two step process. The Global Search first isolates all users who have an entry that matches the search criteria. Following a Global Search, you must select a user and perform a search (Find Selected Text (CTRL + F)) on the individual's calendar database to find the dates where the match(es) occur. :: Output Search Results (CTRL + O) Searches your database for the specified text. All dates with a match are output to a file called SEARCH.RPT located in your calendar directory. The output file is delimited by quotes (") and commas (,). This facilitates importing the data into a spreadsheet, a database, or developing a custom application to perform calculations (e.g. accumulated time spent on a project for billing purposes) or analysis against the data. The search is NOT case sensitive (i.e. birthday = Birthday). :: Reshow Search Results (CTRL + L) Displays the results from the last search request. Find Selected Text (CTRL + F) :: Lists The option used to Add, Delete, Update, or View name lists. Name lists are created by the user to ease processing during group scheduling. The lists are generally comprised of names that make up a group (e.g. a department). Schedule A Group Event (CTRL + G) :: Utilities The additional facilities, including user profile and file maintenance, that are an important facet of GO's operation. With the exception of the calculator and selecting user profiles options, the user must be in update mode for the other options to be available. Elapsed Day Calculator Doodle Pad (F2) Reminders (F3) Select A User Profile (CTRL + S) Add A New User Profile Update Current User Profile File Maintenance (CTRL + M) :: Elapsed Day Calculator Determines the number of elapsed days/weeks between two dates. :: Doodle Pad (F2) As the name implies, this is a doodle pad, used to make notes. The notes are not tied to dates. The doodle pad is stored as a text file and can be up to 32 Kbytes in size. :: Reminders (F3) User's can enter up to 3 short reminders that will appear each time that they run GO. There are no priorities or expiry dates linked to these reminders. The reminders must be removed manually by the user. :: Select A User Profile (CTRL + S) Change the active user to another selected user. This option can also be used to change the user mode (see also User Modes) of the active user. :: Add A New User Profile A new user can only be added by the GO Administrator. GO Administrator :: Update Current User Profile Permits the user to update the active user profile. If a password is in place for this user, the password is required before updating can be initiated. :: File Maintenance (CTRL + M) Maintains the integrity of the active user's calendar files and ensures optimum performance by removing events that are out of date and events that have been flagged for deletion. :: GO Administrator The GO Administrator is the power user of the system. The number shown in the command button indicates the number of users that GO is configured for. The demo version will show 30. :: General Information This area will explain important features of GO that may make it easier for you to get acquainted with the system. Date Format Time Format User Modes Installing GO Configuration Running GO Hints and Tips Trademarks and Copyrights :: Date Format When inputting a date, the format must be mm-dd-yyyy, where mm represents the month, dd the day and yyyy the year. e.g. 02-06-1993 = February 6, 1993 When adding an event, a blank date field indicates that the item is to be added to the day that is currently being displayed. :: Time Format Times can be entered in a number of ways; 10:00 = 10:00 am (in the morning) 22:00 = 10:00 pm (in the evening) 10:00p = 10:00 pm (in the evening) If no start or end time is entered, then the default times specified in the user's profile will be substituted. If an item is being entered for informational purposes only (e.g. pay date), enter a zero (0) in the start and end times. This indicates the entry is informational in nature and will not show up as a conflict. :: User Modes When running GO, there are three different modes in which a user can have access to GO. They are VIEW, UPDATE and ADMINISTRATOR. The level of access determines the functions that can be performed. For example, only the Administrator can add or delete users from GO. The level of access is indicated by the presence (or lack thereof) of a character in the upper right area of the GO main screen. The following illustrates the mode and corresponding character, displayed in brackets; ============================================ View Mode ( ) Update Mode (ö) Administrator Mode (ð) ============================================ NOTE: If DISPLAY.SYS is loaded on the unit that is running GO, it is possible that the character indicating that you are in "Administrator Mode" will appear differently. To determine if DISPLAY.SYS is loaded on the machine in question, check the CONFIG.SYS file found in the root directory. View Mode ========= Indicates that the password required to access the calendar for the user was not given or was incorrect. Any items that were entered with a priority of 8 or 9 will appear as CONFIDENTIAL. This indicates that the user has something scheduled at that time but an unauthorized user cannot see what it is. Update Mode =========== The person has access to perform any and all functions that are normally available to a general user. If the selected user profile does not require a password, then this is the default access mode. Administrator Mode ================== The Administrator can perform all general user functions, as well as adding and deleting users from the system. :: Hints and Tips GO can be used as more than a personal/group scheduler. The following is a brief list of additional applications that GO could be used for: Project Tracking: Projects can be easily tracked through the search facility. Project entries can be isolated from the rest of the database and either displayed, by date, or output to an ASCII delimited file for further analysis (e.g. time tracking and billing). Bulletin Board: If a "user" is defined to GO with the name "Bulletin Board", and the administrator assigns the user a password, then other users can add events (through the group scheduler) and view events. The administrator controls the board and regulates the use of the board, including cleaning off old notices through the file maintenance facility. Equipment Rental: A shop that rents equipment could define each piece of equipment as a user and keep track of its current whereabouts and future bookings. Setting up a user as "Daily Rentals", and using the group scheduler to book an individual piece of equipment with the "Daily Rentals" would allow the shop to track bookings scheduled for the day. P.M. Schedules: Preventative maintenance schedules could be tracked with GO by defining the equipment as users and scheduling the P.M. times as recurring events. Fleet Staffing: A service company that has a fleet of vehicles could schedule the vehicles and the necessary staff through the group scheduler facility. By doing this, the company could keep track of their vehicles as well as their staff and the employees could check their schedules to see when and where they are going to be working. :: Error Messages and Codes Message: No Calendar Type Selected. Process Halted. Explanation: You have requested to print a calendar but you have not selected one of Daily, Weekly, or Monthly to print. Message: Invalid Date Entered (). Processing Continues Explanation: The date that was entered was invalid. The most common cause of this error is a result of using an incorrect format for the date. The format must be MM-DD-YYYY. Message: Access Restricted !! Processing Continues Explanation: The selected user's profile required a password. The response was incorrect. Processing continues with limited (view only) access. Message: File () Too Large. First 32K Loaded Explanation: A file being opened by GO is too large to be processed as is. The first 32K bytes will be processed. It is not likely that this error will ever occur but it is included "just in case". Message: Search Complete. No Matches Found Explanation: The search could not find a match in the calendar database. Message: Start Time Is After End Time Explanation: The time entered in the "Start Time" field, is after the time entered in the "End Time" field. This error can occur when adding or updating an event in the calendar database. Message: Date Range Exceeds 365 Days Explanation: The time period between the start date and end date of a recurring or group event is in excess of 365 days (1 yr). Message: Printer Is Unavailable Explanation: GO detected that the printer was unavailable to send output to. This will happen on a network printer that is currently printing. Message: File Has No Records. Explanation: A request to add events through the Holiday process has failed because there were no records in the specified file. Message: Dates/Events in file have been updated. Explanation: Informational message indicating that the Holiday process has completed successfully. Message: Evaluation copy has expired.
